Merit to Researcher, Step VI
Per The CALL, Research
Series V.A.3.a.: “Advancement to Step VI will be granted on evidence
of great distinction, recognized nationally or internationally, in scholarly
or creative achievement.” The department must not only consider research
performance since the last advancement but also during the candidate’s entire
academic career. For policies covering the Research Series, see The

- Submitting the Action
Please submit the following to the L&S Personnel Office:
- Original plus two (2) copies of the dossier.
- Publications. Place in a box or envelope.
- Dossier Contents in the order below: (Use the appropriate Data
Summary pages from APO’s Website.)
- Professional Research Merit to Step VI Data Summary cover page.
ForStep VI actions, annual salaries should be taken from the Professional Research Series Salary Scale. A Dean can approve a proposed annual within the
five columns of the Researcher rank. An annual higher than the
maximum for each step is considered an off-scale annual and requires
Vice Chancellor approval.
- History record (updated by the department).
- Data Summary page 2. Candidate must initial this page.
- Bibliography. The L&S bibliography
format must be used. A copy of the bibliography must be
placed in the publication box or envelope.
- "Prior" certification page (data summary, page 3).
This page must be read by the candidate before signing. Information
and evidence supplied by the candidate must be listed on this page
(see top of page, section 1, II) and placed immediately behind it:
- CV, self-statement, or any other documents submitted to the
department must be listed.
- Bulky items (exhibits, grant proposals, etc.) should include
a footnote: “See teaching envelope (or box).” These items
must be placed in the box or envelope.
- "After" certification page (data summary page 4).
This page must be read by the candidate before signing.
- Candidate’s written response to the departmental assessment ("h"
below), if submitted. See APM
220-80. e. and “After” certification page I and III.
- Departmental assessment. This is a letter written by the Chair,
or a letter from the principal investigator, endorsed by the Chair,
recommending the merit.
- Chair’s individual recommendation (may be submitted in a separate
statement).
- Departmental ad hoc or standing committee report, if applicable.
- List of extramural (outside) evaluators solicited. A brief
one paragraph biography is required for each evaluator listed.
Also, the list must indicate if the evaluator was suggested by the
candidate or by the department or by both. List all evaluators
solicited, even if they did not respond.
- Department’s sample solicitation letter with statement of confidentiality.
Please write “Sample solicitation letter” at the top. The department
should use as a guide the merit to Professor Step VI sample
solicitation letter and the statement
of confidentiality in The CALL. You may NOT change any part of the statement of confidentiality. It must be copied into a solicitation letter, or supplied as an attachment in this exact text and in it's entirety.
- Extramural (outside) evaluation letters. All solicited letters received
must be included in the dossier. English translations must be
provided for letters written in another language. Please label them
as translations and place immediately after each letter.
- Unsolicited letters of evaluation. If an unsolicited letter
of evaluation is to be included in the dossier, a letter should first
be sent to the writer setting forth the Statement of Confidentiality
and asking that individual to respond whether in light of this University
policy the letter of evaluation should be included or returned (CALL,
Summary of Procedures #10, last sentence). You may NOT change any part of the statement of confidentiality. It must be copied into a solicitation letter, or supplied as an attachment in this exact text and in it's entirety. Please write
“Unsolicited” at the top right corner of letter. English translations
must be provided for letters written in another language. Please
label them as translations and place immediately after each letter.
Publications: Submit all publications since last review
and those that provide evidence of great distinction. Any
work-in-progress manuscripts (if available) must be submitted.
- Routing and Approval
The L&S Personnel Office staff will review the case and then forward
it to CAP. CAP will examine the case and make a recommendation to the
Dean, who then will make a final decision on the merit. Once the final
decision is been made, the department will be notified.
