II. TENURED PROFESSOR

  1. Tenure Appointments (Associate Professor and Professor)
    Within the Regular Professorial Series, Associate Professor (Steps I-III at UCLA), and Professor (Steps I-IX, and Above-Scale at UCLA) are tenured positions.

    1. Search Procedures
      Recruitment searches must be conducted to select the best qualified person for the Associate Professor and Professor positions advertised.  Please see The CALL for guidelines on recruitment (Appendix 22) and faculty searches and exceptions (waivers) to searches (Appendix 23).  For non-citizen candidates, please see Miscellaneous in this section.

    2. Submitting the Action
      Please submit the following to the L&S Personnel Office:
      1. Original plus two (2) copies of the dossier.
      2. Names of three faculty the department considers suitable to serve as a departmental representative if a Review Committee (RC) is appointed.  Please submit an original and two (2) copies of this list on a separate sheet of paper.
      3. Recruitment Data/Compliance Form and Selection Data/Compliance Form.  Original plus one (1) copy. Copies of placed advertisements must be attached to the form.
      4. Publications and teaching evaluations.  Place in box or envelope.

    3. Dossier Contents in the order below:  (Use the appropriate Data Summary pages from the L&S Website.)
      1. Appointment Data Summary Cover page. The salary for the proposed appointment must be taken from the Faculty--Ladder Ranks Series—Academic Year salary tables.  If an off-scale salary (an annual not listed on the table) is proposed, it must be rounded to the nearest $100.  Any proposed off-scale salary must be explained and justified in the departmental assessment letter.
      2. Data Summary Vote page.  Be specific as to the motion voted on and the proposed effective date.  The sum of the vote tally must equal the number eligible to vote.  For additional guidelines on faculty voting rights, please see CALL, Appendix 4.

        Note: For candidates who are currently employed at UCLA,Data Summary pages 3-8 should be completed.  The phrase ‘not applicable’ or “N/A” may be typed in any section that does not apply.
      3. Departmental Assessment. This is the Chair’s summary of the department meeting and the department’s recommendation. The department’s vote on the appointment should be reiterated in the first paragraph of this letter.
      4. Chair’s individual recommendation (may be submitted in a separate statement).
      5. Departmental ad hoc or standing committee report (if applicable).
      6. List of extramural (outside) evaluators solicited.  A brief one paragraph biography is required for each evaluator listed.  The list must indicate if the evaluator was suggested by the candidate or by the department or by both.  List all evaluators solicited, even if they did not respond.
      7. Department’s sample solicitation letter with statement of confidentiality. Please write “Sample solicitation letter” at the top. A sample solicitation letter and the statement of confidentiality can be found in The CALL.  You may NOT change any part of the statement of confidentiality. It must be copied into a solicitation letter, or supplied as an attachment in this exact text and in it's entirety.
      8. Extramural (outside) evaluation letters. All solicited letters received must be included in the dossier.  English translations must be provided for letters written in another language. Please label them as translations and place immediately after each letter.
      9. Unsolicited letters of evaluation.  If an unsolicited letter of evaluation is to be included in the dossier, a letter should first be sent to the writer setting forth the Statement of Confidentiality and asking that individual to respond whether in light of this University policy the letter of evaluation should be included or returned (CALL, Summary of Procedures #10, last sentence).  You may NOT change any part of the statement of confidentiality. It must be copied into a solicitation letter, or supplied as an attachment in this exact text and in it's entirety.  Please write “Unsolicited” at the top right corner of letter.  English translations must be provided for letters written in another language.  Please label them as translations and place immediately after each letter.
      10. Candidate’s current CV and publication list.   A copy of the publications list must be placed in the publications box or envelope.
      11. Candidate’s statement about research and teaching, if submitted.

        Publications:  Publications must be submitted.  Work in progress manuscripts, if available, should also be submitted.

        Teaching evaluations:  Teaching evaluation forms from the candidate’s home institution should be submitted.  A summary of the candidate’s teaching competence should be included in the departmental assessment letter.


    4. Routing and Approval
      The L&S Personnel Office staff will review the case and then forward it to the appropriate Dean for consideration. The Dean will write a recommendation on the case and it will be forward to APO.  APO will send it to CAP.  CAP requests a Review Committee (RC) be appointed as appropriate.
      • When an RC is not appointed, CAP reviews the file and makes a recommendation to the Vice Chancellor, who will then decide the final outcome of the case.
      • When an RC is appointed, the RC reviews the file and submits a report to APO who forwards it to the College Personnel Office for a final recommendation from the Dean.  APO receives the Dean’s recommendation and forwards both the Dean’s and the RC’s recommendations to CAP.  CAP then writes a recommendation to the Vice Chancellor, who then decides the final outcome of the case.  Once the final decision is made, it is passed on to the College, which notifies the department.

      Miscellaneous

      • Not a US citizen; visa issues.   If the candidate is not a US citizen or permanent resident, the department should contact the Office of International Students and Scholars (OISS) for answers to questions about visa status, employment restrictions and requirements.
      • Acting title.  In the College, Acting Associate Professor and Acting Professor titles are normally considered conditional titles pending approval of permanent residency or an appropriate visa.
